NextGen Program Ops Analyst (INTERNAL APPLICANTS ONLY)
Berkeley Lab is hiring a NextGen Program Ops Analyst. Reporting to the Head of the NextGen Program and the Office of National and Homeland Security at LBNL, the analyst will lead complex operational and strategic activities for the program and its fellows. Responsibilities include managing projects, supporting professional development efforts, and solving operational challenges with minimal supervision. The role requires strong judgment, advanced communication and computer skills, and the ability to anticipate team and fellow needs. The ideal candidate is creative, mission-driven, and skilled at navigating institutional systems to ensure fellows can successfully execute their project goals with minimal friction.
What You Will Do:
- Provide advanced program management for the NextGen Program under limited supervision.
- Apply analytical skills to solve complex, non-routine problems affecting cohort operations.
- Act as primary liaison between the Career Pathways Office, Office of National & Homeland Security, and Seaborg Center to:
- Launch and promote annual fellowship calls
- Pre-screen applications and coordinate interviews
- Manage candidate and fellow logistics
- Serve as the main point of contact for fellows, handling onboarding and professional development logistics.
- Collaborate with the Program Lead to engage the Advisory Board, incorporate feedback, and improve program planning.
- Design and deliver career and professional development curriculum for fellows.
- Ensure compliance with DOE, NNSA, LBNL policies, and the Postdoc Collective Bargaining Agreement.
- Coordinate with HR on fellow appointments and extensions.
- Foster relationships across internal and external stakeholders (DOE, UC, National Labs, etc.).
- Help integrate relevant Education & Outreach program elements into the fellowship experience.
- Respond to inquiries and manage communications, including the NextGen inbox.
- Prepare reports, presentations, and program metrics for annual and long-term reporting.
- Support event logistics for advisory meetings, workshops, and other key events.
- Manage website content and post announcements via Elements and Lab calendars.
- Oversee procurement and installation of equipment, ensuring safety and readiness for fellows.
- Coordinate fellow travel arrangements and reimbursements.
- Occasional extended hours and travel (estimated at 5–10%).
What is Required:
- Bachelor’s degree in a related field and/or equivalent experience.
- Minimum 2 years of experience managing PhD-level cohort or fellowship programs.
- Proven ability to develop solutions to complex problems and recommend appropriate actions.
- Experience in planning and executing operations for large programs with evolving priorities.
- Skilled in developing tools and processes to manage and track new operational activities.
- Ability to navigate DOE, UC, and LBNL policies for HR, procurement, and events.
- Demonstrated discretion and professionalism when working with Lab leadership, DOE, and partners.
- DOE Q Clearance required: Must meet eligibility for access to classified information; subject to background check and drug testing.
- Strong organizational skills; able to prioritize multiple workflows and identify cross-cutting solutions.
- Proactive and resourceful in contingency planning and handling unexpected challenges.
- Awareness of cross-Divisional and Lab-wide initiatives to align projects with institutional goals.
- Comfortable working with diverse teams across scientific, technical, and administrative domains.
- Able to design and implement operational procedures across the NextGen program and ONHS.
- Excellent interpersonal and diplomatic communication across all levels of management and institutions.
- Skilled at maintaining confidentiality with sensitive information and stakeholders.
- Advanced proficiency with Microsoft Office, Adobe Acrobat, Google Suite, and tools like Smartsheet.
- Strong ability to adopt and leverage institutional systems and digital tools for program administration.
Desired Qualifications:
- Master’s degree or equivalent experience preferred.
- Knowledge of Contract 31, DOE/federal regulations, Cost Accounting Standards, and GAAP.
- Familiarity with DOE, NNSA, and Lab policies on travel, onboarding, affiliate processing, non-employee payments, conference planning, and procurement.

- This is a full-time career appointment, exempt (monthly paid) from overtime pay.
- This position is expected to pay $107,000.00 - $125,000.00 annually. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary will be commensurate with the final candidate’s qualification and experience, including skills, knowledge, relevant education, certifications, and aligned with the internal peer group.

- This position is eligible for a hybrid work schedule - a combination of teleworking and performing work on site at Lawrence Berkeley National Lab, 1 Cyclotron Road, Berkeley, CA 94720. Work schedules are dependent on business needs. Individuals working a hybrid schedule must reside within 150 miles of Berkeley Lab.
