Administrative Assistant
Lawrence Berkeley National Laboratory is hiring an Administrative Assistant within the Nuclear Science division.
You will provide comprehensive, high-level administrative support to multiple scientific programs. This position operates in a dynamic environment with competing priorities, requiring sound judgment, initiative, and adaptability to anticipate needs and resolve issues efficiently. The role demands a high degree of flexibility, discretion, and professionalism, with frequent interaction across all levels of management—both within and outside the Laboratory.

You will:
- Provide high-level administrative support for the Relativistic Nuclear Collisions and Nuclear Theory programs, managing complex calendars, action items, and deadlines.
- Prepare and edit reports, publications, technical graphics, meeting minutes, and correspondence, ensuring accuracy and professionalism.
- Coordinate with LBNL departments and University of California campus offices, serving as a liaison and advising on relevant policies and procedures.
- Plan and manage logistics for meetings, reviews, workshops, seminars, and conferences, including scheduling and hospitality.
- Serve as LETS Timekeeper and coordinate visits and system access for international collaborators.
- Respond to inquiries and coordinate activities with internal and external contacts to ensure timely completion of tasks.
We are looking for:
- Extensive experience providing high-level administrative support across specialized functions.
- Strong ability to manage tasks efficiently, accurately, and on deadline.
- Proven organizational skills to set priorities and complete multiple projects independently.
- Excellent writing and editing skills; able to produce clear, concise, and polished communications and reports.
- Skilled in building and maintaining professional relationships with diverse internal and external contacts.
- Experienced in coordinating logistics for conferences, meetings, and reviews.
- Advanced computer proficiency in both Mac and PC environments, including Microsoft Office and Google Workspace; adept at database design, spreadsheet development, web content creation (HTML), and graphics applications.
- Able to work independently with minimal supervision and adapt to occasional overtime as needed.
Desired skills/knowledge:
- Experience in an academic or scientific environment.
- Basic accounting skills.
- Use of Government Vehicles requires a valid California driver's license.
- Experienced in coordinating both domestic and international travel, including processing expenses after travel is complete.
Additional information:

- Appointment type: This is a full-time career appointment, non-exempt (hourly paid).
- Salary range: This position is represented by a union for collective bargaining purposes. The expected hourly range for this position is $37.58 - $43.47, which fits into the full hourly range of $34.65 - $46.41 depending upon the candidate's skills, knowledge, and abilities. This includes education, certifications, and years of experience.
