Lawrence Berkeley National Lab’s (LBNL) Nuclear Science Division (NSD)  has an opening for an Administrative Assistant III to join the team.

 

In this role, you will provide a full range of advanced, complex, and diverse administrative services to multiple scientific programs. Working in a dynamic environment with competing priorities requires considerable judgment and initiative to anticipate and resolve problems with a high degree of flexibility, discretion, and tact. Interacts frequently with all levels of management, internal and external to the Laboratory.

 

What You Will Do:

  • Provide administrative support for the Relativistic Nuclear Collisions and Nuclear Theory programs including managing complex calendars, disseminating and tracking action items, ensuring administrative deadlines are met, and addressing key matters.
  • Produce documents such as reports & publications, technical graphics, compose administrative memorandum & correspondence; such as meeting minutes, and proofread for spelling and grammar in scientific documents.
  • Independently handle a variety of clerical tasks and ensure actions and tasks are processed in an efficient, effective, timely, and accurate manner. Coordinate actions with various LBNL departments outside of the Division.
  • Act as liaison to University of California Campus departments for issues and actions, and interact with campus administrative assistants, advising on LBNL policy and procedures.
  • Prepare meetings & logistics; coordinate activities for events such as program reviews, workshops, seminars and colloquia, and large conferences; schedule use of conference rooms including hospitality when needed.
  • Interact with internal and external contacts at all levels to respond to inquiries, gather and provide information, coordinate/schedule activities, and track actions through completion.
  • Serve as the Laboratory Employee Time System (LETS) Timekeeper for the supported programs.
  • Coordinate visits and system access for an international collaboration.

What is Required:

  • Typically requires a minimum six years of specialized experience in providing administrative support for specialized administrative functions.
  • Ability to ensure actions and tasks are processed in an efficient, effective, timely and accurate manner. 
  • Proven organizational skills to be able to independently establish priorities and ensure completion of a wide range of projects in a timely manner.
  • Skill in writing communications and administrative documents/reports that are concise, logical, and grammatically correct; experience in editing the work of others.
  • Must be able to interact diplomatically with a broad range of personnel internal and external to the organization; ability to establish and maintain cooperative working relationships with a variety of persons.
  • Ability to plan and reconcile both domestic and foreign travel.
  • Experience with managing logistical arrangements for conferences, meetings, and reviews.
  • Advanced level computer skills with Mac/PC hardware and software including Microsoft Word, PowerPoint, Microsoft Excel, and Calendar applications.  Google suite of applications, skill in designing databases and developing spreadsheets to track and compile data, experience in HTML and/or web page creation and graphics software applications.
  • Must be able to work under limited supervision.
  • Ability to work occasional overtime as required.

 

Desired Qualifications:

  • Experience in an academic or scientific environment.
  • Basic accounting skills.
  • Use of Government Vehicles requires a valid California driver's license.

 

Notes:

  • This is a full-time career appointment, non-exempt (hourly paid) from overtime pay.
  • The hiring hourly range for this position is $31.12- $41.69.  Salary for this position is based on a step schedule and the final candidate’s qualifications, relevant experience (if applicable, and union contract agreement). 
  • This position is represented by a union for collective bargaining purposes.

  • This position is eligible for a hybrid work schedule - a combination of teleworking and performing work on site at Lawrence Berkeley National Lab, 1 Cyclotron Road, Berkeley, CA. Work schedules are dependent on business needs. Individuals working a hybrid schedule must reside within 150 miles of Berkeley Lab.
