Berkeley Lab’s (LBNL) Computing Sciences Area (CSA) is looking for an Administrator to join the Business Office in the Energy Sciences Network (ESnet)!

 

 

In this exciting role, you will perform a broad range of administrative tasks, carefully monitoring action items and making day-to-day administrative decisions in a fast-paced and busy environment. You will play a pivotal role in providing administrative support, including Executive and Leadership level support, leveraging your analytical skills and experience to execute and streamline business processes for all staff. As a crucial member of that team, you will provide specialized knowledge and business solutions that enable ESnet on-site and remote staff to perform their best work. You will independently and proactively resolve evolving situations quickly, efficiently, and consistently exercising a high level of professional judgment using effective communication skills, ensuring seamless coordination and collaboration with a range of professionals.

 

 

ESnet fulfills a critical role for the U.S. Department of Energy (DOE) by providing high-bandwidth, reliable connections that link scientists at national laboratories, universities, and other research institutions, enabling them to collaborate on some of the world's most important scientific challenges, including energy, climate science, and the origins of the universe. 

 

This position has an anticipated start date of March 16, 2026.

What You Will Do:

  • Prioritize the administrative needs of ESnet Leadership and staff, managing tasks such as strategic calendaring, timekeeping, access requests, onboarding/offboarding, updating publications, and documenting processes.
  • Apply initiative and professionalism to resolve moderately complex issues, using discretion and diplomacy when communicating with staff at all levels, including external stakeholders.
  • Skillfully manage travel arrangements for staff, overseeing domestic and international travel arrangements, including itineraries, changes, and logistical support.
  • Planning, coordinating, and executing complex events, meetings, programmatic initiatives, workshops, and conferences, including budget development and tracking, audio/visual arrangements, registration, travel, note-taking, and catering.
  • Effectively handle multiple priorities with tight deadlines, delivering quality work on time to achieve program goals.
  • Effectively communicate, ensuring transparency and clarity to foster understanding among stakeholders.
  • Stay up to date on LBNL/UC policies, procedures, and systems to ensure compliance.
  • Create and improve procedures and resources, providing recommendations to enhance staff support.
  • Manage and update information systems (e.g., Google Suite, ServiceNow, Jira, Confluence) to track and report administrative activities.
  • Assess, track, and determine appropriate action on various requests and inquiries, ensuring timely completion including the preparation of presentation materials, training, communication and requirements for complex business processes.
  • Facilitate and manage ergonomic support requests, promptly addressing all inquiries and directing them to the appropriate team members or resources, ensuring individuals receive the necessary assistance to maintain a healthy and efficient work environment.
  • Prepare, compile, and coordinate materials for important meetings, utilizing judgment to determine necessary documents and information, required attendees, and disseminating crucial information in advance.
  • Present at meetings as necessary to disseminate essential organizational information related to your role in the organization.
  • Participate in Computing Sciences initiatives, employee working groups, engagement programs, volunteer activities, leadership/stewardship cohorts, and mentorship opportunities.

 

What is Required:

  • A minimum of four years of relevant progressive administrative experience within a large or complex team, department, or division, including providing executive-level support to a leadership team in a technical or operations environment or combination thereof. 
  • Demonstrated experience delivering high-level administrative support, encompassing email correspondence, calendar management, scheduling, travel coordination, expense reports, meeting planning, project coordination, data management, report generation, and navigating complex computerized systems.
  • Experience providing executive level and project management oriented support using prominent cloud-based software platforms and applications, including Google Applications Suite, ServiceNow, Confluence, Jira, Adobe Acrobat, and Zoom video conferencing, on Mac or PC platforms.
  • Experience with event planning, including the planning, coordination, and execution of high-level events, executive meetings, and organizational functions, ensuring seamless logistics, effective stakeholder engagement, and alignment with organizational goals for both in-person and virtual environments.
  • Demonstrated written communication skills, with a history of producing professional, error-free emails, documents, reports, and presentations.
  • Exceptional organizational skills, showcasing the ability to manage competing priorities, meet deadlines, take initiative, and adapt quickly to changing work priorities.
  • Proven interpersonal skills, including the ability to maintain professionalism, discretion, and confidentiality while interfacing with personnel at all organizational levels, internally and externally.
  • Outstanding customer-focused administrative support, characterized by diplomatic and professional interactions with both internal and external customers.
  • Must hold a valid driver's license.
  • Ability to occasionally do light lifting (10-20 lbs).

 

Desired Skills/Knowledge:

  • A Bachelor’s Degree in Business, Communications, or related field.
  • Knowledge of Berkeley Lab administrative systems, policies and practices, including requisition/procurement (including subcontracts), events, report coordination, travel, timekeeping, and financial management.

  • Appointment Type: This is a full-time career appointment, exempt (monthly paid) from overtime pay.
  • Salary Information: This position is represented by a union for collective bargaining purposes and has a budgeted salary range of $85,140 - $104,064 annually, which fits within the full salary range of $75,684 - $127,728 annually, for job code A40.2. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary will be commensurate with the final candidate’s qualifications and experience, including skills, knowledge, relevant education, certifications, and aligned with the internal peer group (if applicable and the union contract agreement).
  • Background Check: This position is subject to a background check. Any convictions will be evaluated to determine if they directly relate to the responsibilities and requirements of the position.   • Work Modality: This position offers a hybrid work schedule, combining telework with onsite work at Lawrence Berkeley National Lab, located at 1 Cyclotron Road, Berkeley, CA 94720. A minimum of three onsite days per week is required, including Mondays, Wednesdays, and Fridays. Work schedules are dependent on business needs and can change at any time. Individuals working a hybrid schedule must reside within 150 miles of Berkeley Lab. A REAL ID or other acceptable form of identification is required to access Berkeley Lab sites (click here for more information).
  • Relocation Assistance: This position is not eligible for relocation assistance.
  • Work Authorization: Candidates must be eligible to work in the U.S. at the time of hire. Visa sponsorship is not available for this position.
